We're on the floor for your contracted shoot days. Keynotes, sessions, exhibitor walk-throughs, attendee interviews, b-roll, and sponsor moments.

First edits delivered

You tell us what you want first, usually social cuts and a recap, and we turn them around fast while the event is still fresh. Everything is delivered through a shared review link with two revision rounds.

Your monthly hours produce whatever your team asks for: member spotlights, sponsor thank-yous, promo videos for next year, session clips. Unused hours roll forward one month, up to 2× your monthly bank.

Founding Partner rates

Lock in early-partner pricing.

Our first clients sign at founding rates, held for their full 12-month agreement. As our calendar fills, rates for new agreements will go up, and expo dates are booked first come, first served.

Terms at a glance. All retainers are 12-month agreements billed monthly by ACH, with a discount for paying the year up front. Travel, lodging, and per diem for on-site shoots are pre-approved in writing and billed at cost plus 10%. You own all final deliverables in perpetuity; Sago Digital retains raw footage and portfolio rights. Early termination carries a fee of three months' retainer or the à la carte value of delivered services, whichever is greater. Full terms are in the service agreement.

Interest form and discovery call

Tell us about your expo and your year. We'll come back within two business days with a tier recommendation and a proposal, then walk through it on a 30-minute call.

Agreement and onboarding

Sign the annual agreement, set up billing, and complete a short brand and content intake. We build your shot list and 12-month content calendar together.

Shoot, edit, repeat

We cover your expo, then run a monthly editing cycle from a shared request board. You ask, we make it, and you always know how many hours are left.

Questions associations ask us.

Why an annual agreement instead of month-to-month?

Because the value is front-loaded. Your expo shoot is the most expensive part of the year and it happens early. An annual term lets us spread that cost into a flat monthly payment instead of charging you $5,000 to $10,000 in event week. It also means we hold your dates and plan your content calendar as a partner, not a vendor.

What counts as an editing hour?

Time spent by our team cutting, color grading, mixing audio, adding graphics and captions, and preparing exports for your requests. Planning calls and delivery don't count against your bank. We track time in our project system and you see the running total each month.

What do we get for our hours?

Whatever you ask for. Most clients start with a recap video and a batch of social cuts right after the expo, then use the rest of the year for member spotlights, sponsor thank-yous, session clips, and promotion for next year. We'll suggest a plan at kickoff, but the hours are yours to direct.

What happens to hours we don't use?

They roll forward one month, up to 2× your monthly bank. Twelve hours unused in March means 24 available in April. Beyond that they expire, which keeps us both honest about using the retainer.

Who pays for travel to our expo?

The shooting itself is included in every tier. Travel, lodging, and per diem for events outside the Jacksonville area are estimated in writing before the shoot, approved by you, and billed at cost plus 10%. For a typical Florida expo it's a small fraction of the retainer.

Who owns the footage?

You own every final deliverable, forever, with no licensing restrictions. Sago Digital retains the raw footage and project files, and we keep them available for edits throughout your agreement. We may feature finished work in our portfolio unless you ask us not to.

Can we add shoot days or hours mid-year?

Yes. Extra shoot days and editing beyond your bank are available at the rates in your agreement, and Year-Round Partner clients get a reduced rate on both. You can also upgrade tiers at any time; the difference is prorated.

What if we need to cancel early?

You can terminate with 30 days' written notice. The early termination fee is three months of your retainer or the à la carte value of services already delivered minus payments made, whichever is greater. This protects us if a client cancels right after the expo, and it's spelled out plainly in the agreement.

Do you handle attendee releases and music licensing?

Music is licensed through our commercial library and covered in every tier. Attendee consent is normally handled by your event registration terms and on-site signage; we'll provide template language.
